What information Bayfront collects, how we use it, and who we share it with.

This Privacy Policy explains what information Bayfront Property Services LLC ("Bayfront," "we," "us") collects, how we use it, and who we share it with.
We work inside people's homes and rental properties. We hold door codes, alarm credentials, and photographs of private spaces. We treat that information as the sensitive material it is. This policy describes exactly how.
1. Who This Policy Covers
This policy covers three groups:
- Clients — residential members and short-term rental hosts who purchase our services
- Contractors — the independent contractors who perform cleaning services
- Visitors — anyone who uses our website
Where a section applies to only one group, we say so.
2. What We Collect
From clients
- Name, email address, phone number
- Property address, and for short-term rental clients, the addresses of each unit under service
- Property details: size, number of rooms, pets, special instructions
- Access credentials — door codes, lockbox codes, smart lock codes, alarm disarm instructions, building access information, and physical keys
- Booking and reservation schedules shared with us by short-term rental hosts
- Service history and scheduling records
- Photographs of your property, taken before and after each visit
- Communications with us, including WhatsApp messages
- Payment information — processed and stored by Stripe, not by Bayfront. We never see or store your full card number.
From contractors
- Name, address, phone number, email
- Taxpayer identification information collected on IRS Form W-9
- Certificates of insurance
- Background check results, obtained through a consumer reporting agency with the contractor's written authorization
- Assignment and payment records
From website visitors
- Standard technical data: IP address, browser type, pages visited. We use this to understand how the site is used and to keep it working.
3. How We Use It
Client information is used to schedule and deliver service, confirm the scope and rate of your service, process payment, communicate with you, document the condition of your property, respond to service concerns and damage claims, support insurance claims, and meet our tax and legal obligations.
Contractor information is used to verify eligibility and insurance, assign work, issue payment, comply with IRS reporting requirements, and meet our recordkeeping obligations.
We do not sell your information. We do not share it with advertisers. We do not use it to build profiles for anyone else's marketing.
4. Photographs
Photographs are taken at every visit. This is part of how we verify work was completed, document the condition of a property before and after service, and resolve questions about damage.
How we use them
- Quality assurance and supervision
- Proof that a service was performed and what condition it was in
- Assessing whether a Condition Fee applies
- Supporting or defending an insurance or damage claim
- Sending you a record of your service
What we do not do with them
We do not use photographs of your property for marketing, advertising, social media, our website, or any public-facing purpose unless you have given us separate, specific permission.
That permission is asked for separately, never buried in these policies or in our terms of service. If you give it, you can withdraw it at any time by telling us — we will stop using the photographs going forward, though we cannot recall material already printed or already shared by others.
People are never photographed. Our contractors photograph rooms, surfaces, and property conditions. If a person is present, they are not included in the frame.
Who sees your photographs: the contractor who took them, Bayfront, and you. They are not shown to other clients, and they are not posted anywhere.
How long we keep them: photographs are retained for 24 months, or longer where a damage claim, insurance claim, or legal proceeding is open or reasonably anticipated.
5. Access Credentials and Keys
Door codes, lockbox codes, alarm credentials, and keys are the most sensitive information we hold.
- They are used only to perform the service you purchased.
- They are shared only with the contractor assigned to your property, and only for as long as that assignment lasts.
- Every contractor has signed a written confidentiality agreement with Bayfront covering this information.
- We delete access credentials and return physical keys when your service ends.
- Please notify us immediately whenever you change a code. Keeping old credentials in our system longer than necessary is a risk to you.
If you believe a credential has been compromised, tell us immediately and change it.
6. Who We Share Information With
We share information only with the service providers below, only as needed, and only for the purposes described.

Our contractors receive the information they need to perform your service: your property address, access instructions, property details, pets, and any special instructions you have given. They do not receive your payment information.
We also disclose information where required by law, in response to a valid legal request, to establish or defend a legal claim, to our insurers in connection with a claim, and to a buyer in connection with a sale of the business, in which case this policy continues to apply.
7. How Long We Keep Information

Where a legal claim, insurance claim, or dispute is open, we keep the relevant records until it is resolved.
8. Security
- We do not store payment card numbers. Stripe does.
- Access to client information is limited to people who need it. Contractors receive only what their assignment requires.
- Every contractor signs a written confidentiality agreement before their first assignment, and completes a background check.
- Our business accounts use multi-factor authentication.
- Access credentials are removed from active systems when service ends.
No system is perfectly secure. If a breach affects your information, we will notify you as required by Florida law.
9. Your Choices
You may, at any time:
- Ask what we hold about you. Email us and we will provide it.
- Correct anything inaccurate.
- Ask us to delete your information, subject to records we are required to keep for tax, insurance, or legal reasons.
- Withdraw marketing photo permission, if you previously gave it.
- Ask us to stop contacting you for anything other than service delivery and billing.

10. Children
Our services are sold to adults. We do not knowingly collect information from anyone under 13. Photographs are of rooms and surfaces, not of people, including children present in a home.
11. Changes to This Policy
We may update this policy. The current version and its effective date are always published at bayfrontpropertyservices.com/privacy. If a change materially affects how we handle your information, we will notify you by email before it takes effect.
Prior versions are archived and available on request.
